Maintaining a list of censored terms

As a business you may want to mask certain words or phrases that are in the feedback from employees. These may be profanities or individual's names or IDs.

Note: The list of censored terms is an optional feature. If it is available to you, you will find it on the Settings menu.

• Add a term to the censored list
• Import censored terms
• Edit a censored term
• Remove a term from the censored list
• Export a list of censored terms

Adding a term to the censored list

1. From the menu bar at the bottom of the screen, click Settings.

   You can also click the System () icon and then click Settings.

   The Settings page opens.

2. Click Censored Terms.

   A list of existing terms is displayed in the Censored Terms Configuration section.

3. Click Add Censored Term.

   You see a text box at the top of the list of existing terms.

   Note: If there are no existing terms, the text box will appear above the Add Censored Term button.

4. Type in the term to add to the censored list, and then click the tick () to the right of the term to save it.

5. To apply the new term to the verbatim, click Re-censor Data.

   This will take several minutes, depending on the amount of feedback that needs to be processed.

Importing censored terms

You can add terms to the censored list by importing new terms in a .csv (comma-separated values) file.

1. Before you begin, save a .csv file with one term per row, for example:

   term1

   term2

   term3

2. To import the terms, from the menu bar at the bottom of the screen, click Settings.

   The Settings page opens.

3. Click Censored Terms.

   A list of existing terms is displayed in the Censored Terms Configuration section.

4. Click Import CSV Terms.

5. Browse to select the .csv file to import, and then click Open.

   You see a message with the results of the import above the censored terms list:

   

   Failed import terms are often duplicate terms.

6. To apply the new term to the verbatim, click Re-censor Data.

   This will take several minutes, depending on the amount of feedback that needs to be processed.

Editing a censored term

From the Settings page:

1. Click Censored Terms.

   A list of existing terms is displayed in the Censored Terms Configuration section.

2. Locate the term in the list, and then click the Edit () icon at the end of the row.

   If the list is long, you can search for the term:

   1. Type the term in the search box above the list of censored terms and press ENTER.

      The search results contain the search term; for example, searching for "na" will return "nathan" and "joanna".

   2. If there are a large number of results, you can page through the result list by clicking the back or forward arrows in the pagination area.

      

   3. You also can set the number of items per page and set the page number to display. When you press ENTER, the list updates to the specified display.

4. To apply the new term to the verbatim, click Re-censor Data.

   This will take several minutes, depending on the amount of feedback that needs to be processed.

Removing a term from the censored list

From the Settings page:

1. Click Censored Terms.

   A list of existing terms is displayed in the Censored Terms Configuration section.

2. Locate the term in the list, and then click the Remove () icon at the end of the row.

   If the list is long, you can search for the term:

   1. Type the term in the search box above the list of censored terms and press ENTER.

      The search results contain the search term; for example, searching for "na" will return "nathan" and "joanna".

   2. If there are a large number of results, you can page through the result list by clicking the back or forward arrows in the pagination area.

      

   3. You also can set the number of items per page and set the page number to display. When you press ENTER, the list updates to the specified display.

      

3. Click the Confirm () icon to confirm or the Undo () icon to cancel.

4. To apply the new term to the verbatim, click Re-censor Data.

   This will take several minutes, depending on the amount of feedback that needs to be processed.

Exporting a list of censored terms

From the Settings page:

1. Click Censored Terms.

   A list of existing terms is displayed in the Censored Terms Configuration section.

2. Click Export terms.

   The list of censored terms is downloaded as single column in a .csv (comma-separated values) file.
