File Submit+ is a self-service tool for sending solicitation files in Rant & Rave. Open it from the application menu on the main dashboard.
It sits alongside your existing file submission process and gives you a second way to send a file, one where you can check it before it goes. You upload the file, see how each row has been read, make any corrections you want and submit when you are happy with it. Nothing is sent until you choose to send it.
Because corrections happen in the page, a change to one row no longer means editing the spreadsheet and starting over. You can also send the rows that are ready straight away and come back to the rest.
Once you submit, your rows are handed over for processing and dispatch, and you can follow their progress in your usual solicitation reports in Discover.
Prepare your file
File Submit+ takes a .csv file containing your recipients, workflow, grace period, schedule period and any metadata you want to send with the solicitation.
The quickest way to start is from the template. Click the Download file template here link beneath the upload area, and you will get a file named sample_file-YYYY-MM-DD-HH-MM-SS.csv with the correct column structure already in place.
Three column headers are required:
- Recipient
- Workflow
- Metadata
You can also include Grace, Schedule, Window, Priority and Reference, along with all your visible Customer Fields apart from Score, Multi-language and Unstructured Text fields.
Do not alter the header names or their order, and save your file as UTF-8 encoded CSV before uploading.
The Metadata column is a divider and holds no data of its own. Columns to its left are your solicitation fields, and columns to its right are your Customer Fields. Names to the left of Metadata are not case sensitive, and neither is Metadata itself, but Customer Field names to the right are case sensitive and must match your configured fields exactly.
Recipient must hold either valid email addresses or valid phone numbers, and Grace accepts positive whole numbers only, expressed in seconds. A file can hold up to 50,000 rows.
Upload your file
Drag your file into the File Upload area or use Browse files to pick it from your computer. Until you do, the page tells you that no file has been uploaded yet.
Some problems stop a file loading at all, and you will see a message instead of your rows:
- The file contains no rows.
- One or more columns have no header.
- Two columns to the left of Metadata share a name, ignoring case.
- The file has more than one Metadata column, ignoring case.
- The file has a header row but no data rows.
- The file has more than 50,000 rows.
Correct the file and upload it again.
Review the validation results
Once your file loads, the page becomes New Submit. Your controls sit on the left, split into File Upload, File Status and File Download. Your rows appear on the right under File Details, with Reset and Submit in the top corner.
Every row is given a status.
| Status | What it means |
|---|---|
| Ready | The row is complete and fully valid. |
| Data | The row is incomplete. Optional fields are missing, but the row is otherwise valid. |
| Error | Mandatory data is missing, or a field holds an invalid format. |
| Duplicate | The recipient and workflow match another row exactly. |
Error rows highlight only the cells at fault, so you can see which field needs attention. Duplicate rows are highlighted in full. The File Status panel gives you the total for each status, so you can see how much of the file still needs work.
The Metadata column is shaded grey in the table, dividing your solicitation fields from your Customer Fields. Column headers can be clicked to sort, and columns can be resized. All rows appear in a single scrollable table, with no pages to step through.
Filter by status
Each status in the File Status panel has a checkbox, and all four are selected when your file loads. Clearing one hides the rows with that status, and selecting it again brings them back. Filtering changes what is visible and nothing else, so anything you have ticked in the table stays ticked.
Search
The search field above the table runs a keyword search across every searchable column, over all rows you have not deleted. Like filtering, it only changes what is visible. Search and the File Status checkboxes work together, so the table shows rows that match your search term and have a currently selected status.
Correct your data
You can fix problems in the page. There is no need to edit the source file and upload it again. Everything below works on the current state of your file, including changes you have already made.
Edit rows
Click a cell to edit it in place, or use the edit icon in a row's Action Bar to change every field at once. When you save, the row is validated again and its status updates to reflect the change.
Find and replace
Find and replace applies the same correction across many rows at once. You can search every column, which is the default, or narrow it to a single column or a set of columns. Case sensitivity and whole word matching are both optional.
Before anything changes you can see which records have matched. From there, replace them one at a time or all together, and replacing them all asks you to confirm first. The affected rows are then validated again and their statuses update.
Delete rows
To delete a single row, use the delete icon in its Action Bar. To delete several, tick the rows you want and use the delete icon above the table. Either way you are asked to confirm, and a message confirms once it is done.
Reset clears your file and returns the page to its starting state. If you have unsaved changes you are warned first.
Download a copy
The File Download panel counts what you have changed, both the cells you have edited and the rows you have deleted, so you can see how far your version has moved from the file you uploaded. From the same panel you can download a copy of the file with all of your adjustments applied.
The download reflects the current state of your work and ignores which rows are ticked, what you have searched for and which statuses are filtered into view.
Your corrections belong to the session you are working in, and File Submit+ does not keep a record of files you have worked on previously. If you have made changes worth keeping, download a copy before you leave the page.
Submit your file
Only Ready and Data rows can be submitted.
What gets submitted is decided by the File Status checkboxes at the moment you click Submit, not by the tick boxes on individual rows, which are for editing and deleting only.
Because of that, Submit stays disabled while Error or Duplicate is still selected. You have two ways forward:
- Fix the Error and Duplicate rows until none remain.
- Clear the Error and Duplicate checkboxes and submit the valid rows on their own, leaving the rest behind.
You are asked to confirm before anything is sent, and the confirmation tells you what you are about to submit, including when you are submitting only part of the file. A confirmation message appears when your records are accepted.
You can monitor downstream status in your usual solicitation reports in Discover.
Getting started
1. Prepare and upload your file
Open File Submit+ from the application menu, use the template link to get a correctly formatted CSV, and fill in Recipient and Workflow for every row along with any optional fields you need. Drag the file into the File Upload area or use Browse files.
2. Review and correct
Check the status given to each row and the totals in the File Status panel. Use the status checkboxes and search to focus on what needs attention, then edit cells directly or use find and replace to fix repeated problems. Delete any rows you do not want to send.
3. Submit
Clear the Error and Duplicate checkboxes so only Ready and Data rows remain selected, click Submit and confirm. Monitor downstream status in Discover.
