How to import a list into a Procomms Desktop account
- Compile a spreadsheet of data - only 2 columns are required - mobile number and name
- Mobile number MUST be in column A and then name can be in column B or if no name required then column B can be blank or you can duplicate the number in column B
- Remove column headers if there are any
- Mobile numbers when saved in Excel sometimes have their leading zero removed so always format the numbers by ‘format cells’
- Highlight Column A - Mobile numbers, right click - Format cells, custom, then in the box under Type enter eleven zeros (this is the amount of digits in a UK mobile number) you will then see the first number on your spreadsheet change and show a zero at the beginning and then click OK
- Save the file as a CSV (Comma delimited)
- Log on to your Rant & Rave account
- Click on Lists, import list and then browse and find your file
- Click on the file and open and then continue
- You should then see that your file has been processed and you will be given a list of incorrect records. You may see incorrect mobile number or duplicates. These are OK unless the whole file errors, then you will need to retrace your steps.
- The last entry will ALWAYS be the first blank line at the bottom of the data on your account and this is perfectly as it should be.
- (If you are not taken to the above step and the screen hangs and says xxx recipients update but goes no further. It is an issue with the list so I would suggest that you go back to your list and copy and paste just the date from column A & B and put on a new spreadsheet and then save this as a CVS (Comma Delimited) and re-import the list as above
- Click on Continue
- You will see all of the names of the recipients of the list in the box on the right and the recipient count underneath this
- Give the list a name and if you are in the future to keep re-importing versions of this list then also a date
- Then Save AS
- You should check that you have imported this correctly and the leading Zero has been keep on the numbers then go to Lists, Create/Update Lists, type in the top box what you have saved the list as (or part of the name) and click on find
- Click into the actual name of the list (not the box on the left)
- You will then see your list and the names and mobile numbers and able to check that they still have the leading zero
- If required to delete an old list which perhaps this new one is to replace
- Click Home
- Lists, Create/Update Lists either Click on find or type part of the name of the old list
- Click find
- Then click on the box on the left of which one you need to delete
- Click on delete
